# Commercial real estate: 100% of the investor base actionable, where 80% lay dormant

Beaumaris is a commercial real estate investment advisory firm based in Lille, France, founded by two partners. I brought its five tools together into [a single sales command center in Notion](https://warrenperez.com/en/notion-consultant/), to make its entire investor base actionable and secure sales cycles of six to twelve months.

- 2 partners
- Lille, France
- Offices · light industrial · retail

## 1 · Context

Specializing in Capital Markets, Beaumaris advises institutional and private investors and family offices on the sale or acquisition of offices, light industrial premises and retail assets. Its work goes beyond selling assets: it also involves presenting and structuring the current or future cash flows attached to them.

Sales cycles are long, often six to twelve months, with twenty to forty active opportunities at different stages of maturity.

In this business, the quality of the CRM, of pipeline tracking and of investor data directly determines commercial precision, the quality of follow-up and the reliability of revenue forecasts.

## 2 · Challenge

The brief at a glance

- Bring five tools together in a single command center
- Make the entire investor base actionable
- Secure six- to twelve-month cycles
- Track forecast revenue
- Improve the way of working, without changing it

Information was fragmented across five tools: Excel for investors, OneDrive for documents, Notability for handwritten notes, Notion for projects and the iPhone’s contacts for relationships. The same information often had to be entered three or four times.

Around 80% of the contact base went unused: investment criteria were hard to filter, update and act on, in a market where contacts frequently change firms without leaving the industry.

With no consolidated dashboard, management relied on intuition: neither the number of deals by asset type, nor exit rates, nor the time spent at each sales stage, nor forecast revenue was measured.

## 3 · Roadmap

1. 1 Audit and mappingAn audit of the existing system and a map of the relationships between pipeline, actions, contacts and companies.
2. 2 Workspace stabilizationThe workspace cleaned up and restructured: key databases isolated and structural duplicates removed.
3. 3 Unified CRMContacts imported from Excel and the iPhone and cleaned up, with contact details standardized through formulas.
4. 4 Opportunity templatesAutomated templates: every new opportunity is created with its tasks, meeting notes, contacts, companies and documents.
5. 5 DashboardsForecast revenue, deal flow, probability-weighted opportunities and the average time spent at each sales stage.
6. 6 Investor targetingViews and filters by asset type, budget, target yield and investment strategy.
7. 7 Coaching and autonomyLive coaching sessions and custom video documentation, so the team can run the system independently.

## 4 · The transformation

Before

- Information fragmented across Excel, OneDrive, Notability, Notion and the iPhone.
- The same information entered three or four times.
- Around 80% of the investor base unused.
- No dashboard for the pipeline or for forecast revenue.
- Six- to twelve-month opportunities tracked from memory.

After

- 100% of the investor base actionable, filtered in seconds by asset, budget, yield and strategy.
- Long cycles secured by clear statuses, pauses and automatic reminders.
- Notes, meeting reports, history and next steps for every relationship, all in one place.
- Forecast revenue and deal flow visible in a single dashboard.
- Repetitive tasks automated: project creation, document filing, deadline calculation and follow-ups.

> It fits exactly, because it doesn’t change the way I’ve been working so far. It just improves it. So it’s perfect. It’s exactly what I wanted.
