##### Debrief and fine-tuning

We hold a debrief call to capture what really worked, the friction you hit and the useful adjustments.

I then fold in your feedback and fine-tune the system offline, and you get back a clean, stabilized version.

#### Who it’s for

Young or fast-growing organizations: tools multiplying, information scattered, no single source of truth yet. The ideal moment to get structured, before operational debt sets in.

#### What you get

A clean, ready-to-use Notion foundation: a clear architecture, a single source of truth, the essential workflows, and a team that knows how to use it. Enough to stop patching things together and start relying on your system.

#### Why

Structuring early costs three days; structuring too late costs months of rebuild. Three days are enough to lay healthy foundations everything else can stand on, with no over-engineering, just the essentials done right.

#### Deliverables

- A ready-to-use Notion architecture
- A single source of truth
- Essential workflows up and running
- A getting-started guide
- A 90-day roadmap

€3,000 excl. VAT

Take a bogged-down system and make it clear and alive again.

**Format** 3-phase program

**Duration** 3 months

**Price** From €5,000 excl. VAT

A typical three-month rhythm, sequenced precisely with you during the diagnosis.

1. Phase A Analysis and Modeling Deliverable The detailed blueprint of the target system: architecture, relationships, governance, how the spaces are divided. Validated together before any implementation. Understand how the organization really works, right down to the gap between the system on paper and the system as lived. The architecture is designed from your actual usage, not from a generic framework. No structural choice is locked in before this phase is done. Audit of what exists: architecture, usage, pain points, redundanciesTargeted interviews with key stakeholdersMapping the critical information flowsClarifying where silos need to come downGovernance principles: rights, responsibilities, reliabilityFormalizing the target vision of the system
2. Phase B Notion Development Deliverable A tailor-made Notion workspace, optimized and functional, ready for your teams to move into. Turn the workspace into a simple, intuitive, lasting system. I handle the build myself, to guarantee consistency, rigor and speed of execution. Building and reworking the databasesTemplates and relevant filtered viewsClear pages designed around real usageConfiguring user access rightsControlled content migration, no data loss, no big bang
3. Phase C Activation and Fine-tuning Deliverable Video tutorials dedicated to your system, for lasting onboarding of current and future teams. Anchor the change without tying up leadership in day-to-day operations. Support is not optional: it is the condition for adoption that sticks. Regular co-building sessions with your point personSpotting and coaching internal championsTargeted upskilling sessionsHands-on support after rolloutLearning resources dedicated to your system

Organizations that are already equipped, but whose system has grown tangled over time: duplicates, exceptions everywhere, fuzzy governance, sagging adoption. The system holds them back instead of carrying them.

A full redesign, without breaking everything: new architecture, clear rules, governance owned for real, and a genuine adoption plan so the change holds. A system the team takes back into its own hands, not one more construction site.

A confusing system costs you margin, decisions and knowledge transfer. Quietly, every day. Rebuilding it restores speed and clarity, and gives the organization back its own way of creating value.

- Audit + target architecture
- A redesigned system, clear and alive
- A controlled migration plan
- Governance and written rules
- An adoption plan

The principles

Every improvement must:

- Produce a measurable gain
- Reduce complexity, or at least not add to it
- Fit naturally into the existing system
- Stay understandable and adoptable by the teams

Organizations whose system is already adopted and stable, and who want to bring in the most relevant AI use cases without recreating complexity. The goal is not to add tools, but to steadily increase the value of the existing system.

A system that keeps evolving: new AI use cases, targeted automations, workflow optimization, better deliverable quality and rising team skills. Every change is designed to produce a concrete gain, without adding operational debt.

AI moves too fast to be integrated just once. The organizations that create the most value are the ones that keep experimenting, keep what works and drop the rest. The goal is not to chase every new release, but to improve your system for the long run.

- A prioritized 3-month AI roadmap
- A prioritized backlog of improvements
- New AI use cases integrated
- Targeted automations
- Optimization of existing workflows
- Workshops with the teams
- Documentation of the new use cases
- Strategic recommendations
- AI monitoring applied to your context

## Notion Expert FAQ

### Can Notion replace a CRM?

While Notion isn't built specifically to run a company's sales relationships, you can absolutely build a CRM with its relational databases.

The question isn't "can Notion do it", but rather "is it the most relevant solution?". To decide, step back and look at your specific needs against the size of your organization and how intense your sales activity is.

For example, keeping your CRM in Notion makes sense for a 10-person SMB with a portfolio of 30 clients. On the other hand, a dedicated CRM tool is a better fit for a scale-up prospecting at high volume across many different channels (cold email, newsletter, cold calling, media buying, and so on).

### Can Notion automate processes?

Yes. Notion lets you automate your workflow through native features, its API and its MCP.

On a paid plan, Notion lets you create action buttons and database automations that fire on trigger rules. For instance, you can create specific tasks the moment a project's status moves from "Queue" to "To schedule". You can also automate sending emails through Gmail and messages through Slack.

To go further, Notion integrates smoothly with modern automation tools like Zapier, Make and n8n.

That opens up more complex scenarios, such as adding a new project to your production database the moment a deal is signed in Pipedrive. Here, Pipedrive handles the pre-sales stage and Notion takes over to run the project operationally.

### Should you hire a certified Notion consultant?

Notion runs its own academy with tracks that lead to official certifications. These certifications aren't mandatory, but they show that the theoretical knowledge for professional use has been acquired.

As a Notion consultant, I hold the [Notion Service Specialist](https://www.credly.com/badges/4c922bfd-54af-4525-8303-ff6a96fd3d23) certification, the highest level of official certification, along with [Essentials](https://verify.skilljar.com/c/aeizwtix25vg), [Workflows](https://verify.skilljar.com/c/hesozkphbbys), [Advanced](https://verify.skilljar.com/c/j5pfmmj8eht3) and [Admin](https://www.credly.com/badges/dbaa61f1-f01b-42cc-8cc6-bbda97150bbc).

Certifications are a positive signal, but they're far from enough. On top of complete mastery of the tool, a senior Notion consultant needs an excellent grasp of how businesses and operations work, deep expertise in organizational design and in project and change management. They should also practice no-code and vibe coding more broadly, to fit Notion neatly into the company's wider tool stack.

Finally, a Notion consultant needs strong interpersonal skills, because much of a project's success comes down to listening, asking the right questions and explaining things clearly to a non-technical audience. There's also always a more "political" dimension, where part of the underlying goal is to encourage adoption inside the organization.

### What are Notion's AI and AI agents for?

Notion makes LLMs genuinely useful by flipping the perspective. Instead of the company going to Gemini, ChatGPT, Claude, Perplexity and the like, the company invites the LLMs into its Notion workspace.

The difference? No more attaching files in ChatGPT to give context: here, the LLMs already have the full context of your business. The results are more relevant, and you save time.

Beyond that, Notion AI can transcribe meetings automatically: whether you're on a video call or in the office, you get a solid write-up with zero effort. Notion also offers AI agents you can configure to act along your own tailored business processes.

Notion stays at the cutting edge of enterprise AI integration, letting companies of every size take advantage of this technological shift.

### Is Notion the right tool to run my business?

There's no answering this without knowing the specifics of your needs. Think of Notion as a shape-shifting tool for designing collaborative workspaces that fit the way specific trades are organized.

But even though you can build almost anything in Notion, it isn't always the best fit for every use case. For instance, I'd advise against using Notion to create invoices: there are tools built specifically for that, and they're far more effective than bending Notion too far out of shape.

It helps to know Notion's possibilities well and to have real experience with the tool before deciding. So don't hesitate to talk it through with a Notion expert.

### When should you bring in a Notion consultant?

Companies of every size (micro-businesses, SMBs, mid-caps, nonprofits, large groups) bring me in across a range of situations.

Most often, the company adopted Notion a while ago without any deep, expert thinking about how to structure it, and now finds that the tool no longer delivers on its basic promise: making teams more productive. I then step in to transform the Notion workspace and restart it on healthy, scalable foundations.

Sometimes the Notion workspace already exists and is solid, but the company wants to push its organization further toward scale: I then set up specific automations, complex relational systems, and so on. Some companies reach out before they even build their Notion, to be guided from the very start toward a reliable solution and trained teams.

### Does Notion make you more productive?

Notion is built to let companies design tailor-made collaborative environments optimized for productivity.

That said, because Notion gives so much freedom to customize, you need to master the tool and have solid project-management fundamentals to design a workspace that fully delivers. Training yourself and/or getting help from a Notion expert can be well worth it.

### How much does a project cost?

The price depends on the format you choose and the scope, both framed together in a first conversation.

Three formats: Foundations, a 72-hour sprint to lay a healthy operational base, at €3,000 excl. VAT; Redesign, a three-phase rebuild over 3 months, from €5,000 excl. VAT; and AI Amplification, a monthly continuous-improvement partnership at €1,500 excl. VAT per month. The precise quote is drawn up after the diagnosis, based on your real priorities.
