B Corp movement: training management 100% centralized, from registration to attendance

B Lab France leads the B Corp movement in France, the international certification for the most committed companies. It brought me in to rebuild its Notion workspace to manage its training programs, and then to structure the registry of its partner companies.

1 · Context

B Lab France leads the B Corp movement in France, the international certification that recognizes companies with the strongest social, societal and environmental commitments. The network brings together more than 11,000 certified companies in over 100 countries, including more than 640 in France.

The nonprofit also runs training programs, including B Leaders, organized in cohorts and led by trainers, in partnership with an organization that handles their administrative management.

2 · Challenge

The brief at a glance

  • Manage training sessions
  • Make attendance tracking reliable
  • Organize trainers’ schedules
  • Open priority seats to partners
  • Keep the partner registry up to date

The existing Notion workspace had to be completely rebuilt to keep pace with the growth of the training programs. Registrations came in through the administrative partner’s spreadsheets, attendance had to be checked by half-day and every completed training called for an update to the internal directory.

The goal was a single system to manage sessions, track attendance, organize schedules and coordinate the trainers’ work, while keeping the registry of partner companies, and the ownership of each partnership, up to date.

3 · Roadmap

  1. 1

    Rebuilding the existing workspace

A map of the existing databases and of exchanges with the administrative partner, followed by a redesign of the architecture.

  2. 2

    Participant tracking

A participant list fed from the administrative partner’s registrations, with attendance checked by half-day. A successfully completed training automatically adds the person to the internal directory.

  3. 3

    Schedules and trainers

Each cohort linked to its participants and trainers, with a facilitation dashboard, tracking of half-days delivered and availability.

  4. 4

    Priority pre-registration

A pre-registration form that reserves seats for B Lab in each session, applies the pricing of each partnership level and automatically notifies the administrative partner.

  5. 5

    Role-based spaces

Three separate spaces: participants, B Lab’s internal administration and the trainers.

  6. 6

    Partner registry

In a second engagement, the community’s 330 companies brought together in a single database, migrated automatically from Google Sheets, where each partnership is tracked with its owner.

4 · The transformation

Before

  • A Notion workspace in need of a rebuild, no longer keeping pace with the programs.
  • Registrations and attendance consolidated by hand.
  • Schedules and trainers tracked with no link to the cohorts.
  • A partner registry kept in spreadsheets.

After

  • Training program management 100% centralized, from registration to attendance.
  • Attendance checked by half-day, and the internal directory updated automatically.
  • Schedules and trainers coordinated from a facilitation dashboard.
  • A registry of 330 partner companies, each partnership tracked with its owner.
Thanks again, Warren, for your invaluable help and support.
