Transforming the Notion of a SaaS software publisher

Knowmore is a SaaS publisher offering a digital adoption platform, thanks to an approach combining use and learning. The company employs around 30 people, and its customers include groups such as AIRBUS, Crédit Agricole and Pernod Ricard.

Setting the scene

Knowmore is a software publisher with over 20 years’ experience, which until recently worked for a handful of select key accounts. Then the company took a turning point by evolving its product into a SaaS solution with the ambition of being able to address its services on a larger scale. This strategic choice proved successful, and Knowmore entered a phase of accelerated development.

This change of scale has led to a multiplication of projects, which are by nature complex. Each deployment project requires a clear vision, despite the large amount of information to be taken into account. Fabien Taillandier – Knowmore’s Product and Customer Relationship Manager, notes that their monitoring tools are struggling to deliver on their promises. What’s more, each division had its own tools, and there was no common repository.

After a few iterations, Notion was identified as an ideal solution for centralizing information and collaboration between the various divisions. Fabien decided to call on me for support in this organizational transformation.

The action plan

Exploration workshops

These enable me to grasp the issues to be resolved, and to explore the entire scope of the mission. We clarify the pre-identified needs, the observed frictions. The first workshop is macro, to understand Knowmore’s business and the way they organize themselves to carry out this repository project. Subsequent workshops focus on specific points, to grasp the subtleties of the project.

Analysis & proposal

I study the information gleaned from the exploration workshops, which I consolidate by meticulously going through Knowmore’s Notion space. This analysis results in a deliverable including:
mapping of the company’s Notion information system (the workspace as it was before my intervention)
A critical analysis of the existing system
A schematic proposal for a new organization within Notio

MVP development

As soon as we’ve agreed on a new organization, I design the Notion space. This is the production phase. This is a co-construction phase, with milestones to match the reality of the SaaS digital adoption business. In this case, I opted to design a Notion MVP in a separate space, so as not to disrupt the work of the teams.

Transformation of the Notion space

Once the tests have proved conclusive, it’s time to integrate the work carried out into the company’s Notion space. The main challenge here is to capitalize on existing work and avoid losing data. I sort out the unnecessary elements from the relevant, under-optimized ones. In the end, we get the best of both worlds: a tailor-made Notion space that contains the important data from the old space.

Change management

The aim is to minimize the friction associated with Notion’s evolution. To achieve this, I provide video training to employees. This is an opportunity to go through all the functionalities and answer any questions they may have. I also produce video tutorials. This makes it possible to offer structured onboarding on a dedicated Notion page. In addition, I place links to specific videos, contextually, directly on the Notion pages.

REX & refinement

Three weeks after the new workspace goes live, we hold a meeting to gather feedback from all the employees concerned. I then fine-tune the Notion so that it fits in as closely as possible with the way the teams use it.

Long-term support

Working directly with the product and sales relationship manager, I help the company to integrate certain processes into Notion, and automate them via Make to save time and precision on time-consuming tasks.
